Vitamin C Institute for Clinical Integration (VCICI)

1. Acknowledgment of Terms

By attending, exhibiting, speaking, or sponsoring at VCICI C-MPOSIUM, you agree to these Terms & Conditions.

2. Governing Law & Jurisdiction

This policy is governed by the laws of the State of Florida. Any disputes arising from these terms must be resolved in the courts of Pinellas County, Florida, the exclusive venue for legal claims.

3. Registration, Approval & Participation

All registrations are subject to VCICI approval. VCICI reserves the right to accept or decline registrations at its discretion. Attendees, sponsors, exhibitors, and speakers must comply with VCICI policies, venue regulations, and applicable local and state laws. Registrations are first-come, first-served. If capacity is exceeded, priority is based on the date full payment is received.

Approved exhibitors and sponsors will receive detailed logistical instructions, including material shipment guidelines, marketing opportunities, and venue policies. Electricity, WiFi, and additional services beyond standard provisions are available for an additional fee.

4. Sponsorship & Exhibitor Benefits

Sponsorship Benefits

Sponsorship is separate from exhibiting. Sponsors may receive promotional recognition through:

  • Website listings
  • Event signage
  • On-stage acknowledgments
  • Newsletter mentions

Exhibitor Guidelines

Marketing Restrictions

Exhibitors may not distribute promotional materials outside of their designated booth space without written approval from VCICI. Advertisements in meeting rooms or common areas require prior written consent.

Booth Space & Staffing

Single booth registration includes two staff members with access to lectures, continental breakfast, and meals. Double booth registration includes up to four staff members. Shared booth spaces are prohibited unless explicitly approved by VCICI. A fee may apply. Additional tables (for L-shaped booths) are available for an extra fee.

Speakers as Exhibitors

Speakers wishing to exhibit must pay standard exhibitor fees. A speaker may opt for a discounted exhibitor rate instead of an honorarium/hotel accommodation (if applicable). On-site product sales require a full exhibit space reservation.

5. Liability, Insurance & Security

Exhibitors and sponsors assume full responsibility for their property and agree to hold VCICI harmless for any losses or damages. VCICI and the venue are not responsible for lost, stolen, or damaged items. Exhibitors must carry general liability insurance covering bodily injury, death, and property damage, with a minimum coverage of $1,000,000 per occurrence. Exhibitors are responsible for securing their property.

6. Cancellation & Refund Policy

  • 90+ days before event → 75% refund
  • 60–89 days before event → 50% refund
  • 30–59 days before event → 25% refund
  • Within 30 days of event → No refund

VCICI reserves the right to cancel or reschedule the event due to unforeseen circumstances. In the event of cancellation by VCICI, registered participants will receive a full refund.

7. Materials, Setup & Logistics

Exhibitor setup must be completed the day before the exhibition opens, during the designated setup hours posted by VCICI. Exhibitors must coordinate shipments directly with the venue. Venue handling fees may apply for material storage and return shipments. Booth displays must not obstruct walkways or interfere with other exhibitors.

8. Prohibited Activities & Solicitation

Unapproved solicitation is strictly prohibited. Misuse of attendee lists or unauthorized contact of event participants is not permitted.

9. Exhibitor Standards & Eligibility

Exhibitors must submit a company description detailing their products/services. Any exhibitor offering FDA-regulated products must disclose FDA approval/registration status. VCICI does not endorse any exhibitor’s products or services. VCICI reserves the right to deny exhibitor registration if the company is misaligned with its mission or standards. Multi-Level Marketing (MLM) companies may be denied registration at VCICI’s sole discretion.

10. Violation of Terms

Failure to adhere to these policies may result in:

  • Expulsion from the event without refund.
  • Disqualification from future VCICI events.
  • Additional penalties at VCICI’s discretion.

11. Policy Modifications

Reservation changes (e.g., booth adjustments, staff modifications) may be made up to 60 days before the event, subject to VCICI’s approval. Cancellations and refund requests must adhere to the stated refund policy:

  • 90+ days before event → 75% refund
  • 60–89 days before event → 50% refund
  • Within 30 days of event → No refund

VCICI reserves the right to modify event policies, pricing, and requirements as needed.
